Register your Organization

2017-18 Registration/Re-registration: April 10-September 15

New Organization Registration

Are you interested in forming a new organization on campus? That's great! We are excited to hear more about your organization. Please see the below steps for registration. Contact Assistant Director for Student Organizations, Caitlyn Walsh, Caitlyn.Walsh@uky.edu or 859-218-1771, with questions.

1) Education: Attend a New Organization Orientation

  • A minimum of 1 officer must attend, we encourage at least 2 to attend if possible
  • This meeting will cover:
    • What is OrgSync?
    • How to create your organization's OrgSync portal
    • Tools, tips, and tricks for successful navigating and utilizing your OrgSync portal
    • Student Organization resources and how to access and utlize them

2) OrgSync: Submit a New Organization Profile on OrgSync. On OrgSync, select 'Browse Organizations,' and then 'Register New Organization.'  You will walk through this process in your New Organization Orientation.  Information you will need to include in your registration is below.

  • Three (3) students/officers that are currently enrolled and in good standing (2.0 cumulative GPA). Students can be full- or part-time, undergraduate or graduate/professional.
  • Three (3) students/officers listed for Event Management System access.  Students must be currently enrolled and in good standing (2.0 cumulative GPA). Students can be full-or part-time, undergraduate or graduate/professional.  
  • One (1) full-time faculty or staff member to serve as the organization's primary advisor.
  • National Consititution (if applicable)
  • Local Constitution - Must contain the following criteria:
    • A non-discriminatory statement (i.e. "Open to any and all members of the UK community.")
    • Statement that only students, faculty and staff can be members. Alumni or community partners can serve as "Associate" members, not full members.
    • Statement that only students can be officers.
    • An outline of the selection/election process of officers.

Organization Re-Registration

1) Education: Attend an Officer Training

  • A minimum of 1 officer must attend, we encourage at least 2 to attend if possible
  • The training will cover:
    • A breif review of the registration process
    • How to manager your OrgSync portal
    • Expectations of organization officers
    • Student Organization resources and how to access and utilize them

​2) OrgSync: Update your OrgSync Profile

In your organization's OrgSync portal, you will be prompted with an orange box to update your organization's information. If you do not see this box, you do not have administrator access. Contact Caitlyn.Walsh@uky.edu with your name, UKY e-mail address, and organization to request access. Once logged in you will update any outdated information, officers, and documents.

Approval Process

Once both steps 1 and 2 are completed in your registration/re-registration process, the Student Organizations and Activities staff will review your portal submission. After all information is verified, your organizations registration will be approved. Please allow for 5-10 business days once ALL steps are completed.
